Payment Policies

After registration and payment of registration fee, students must pay 50% of the tuition and fees prior to the beginning of the next quarter. The remaining 50% of the tuition and fees must be paid during the grace period ending on the Wednesday of the 2nd week of the quarter (Last day to Add and Drop). Late payment of the 50% tuition and fees are subjected to a penalty charge.

A penalty shall be assessed for all payments of tuition and fees received after the grace period ending on the Wednesday of the 2nd week of the quarter. Failure to pay all debts to the University prior to the close of a quarter shall result in a delinquent account unless an authorized deferment is issued by the Academic Dean or the Fiscal Officer. A student will not be allowed to register for a subsequent quarter if he/she has not paid for tuition and fees for the previous quarter. Any student who has a delinquent account shall have all his/her student records encumbered until the account is cleared.

A penalty for late payment of the 50% Tuition and Fees will be assessed according to the following schedule:

Any late tuition and fees payment outside of Regulations 4306.00 R and 4307.00 R shall carry a 10% penalty charge of the outstanding amount and also an interest charge of 5% annual simple interest rate.

Continuation of education after payment of late tuition and fees and penalty may be subjected to obtaining written permission from the Academic Dean and submission of the same to the Fiscal Officer

Tuition Refund

A student may cancel his/her enrollment agreement at any time on or before the first day of instruction without any penalty. The student will receive full tuition refund (except for the paid fees).

For students who have completed 60% or less of the ten-week-quarter class(es), the refund shall be on a pro rata basis. The refund shall be the amount of tuition paid multiplied by a fraction (numerator being the number of class hours which the student has attended and the denominator being the total number of class hours (credit units x 10) for which the student has paid).

A student will not get a refund after more than 60% of the instruction of a course has been presented or conducted.

To receive a tuition refund, a student must submit in writing a dated and signed request for withdrawal. The refund formula shall be based upon the day the SBU'S office receives the written withdrawal notice from the student. Processing fee may be applicable for tuition refund.

For students receiving financial aid, any tuition refund will be made first to the Unsubsidized Federal Stafford loans, and then to Subsidized Federal Stafford loans up to the amount disbursed. Any additional refunds will next be made to the Federal Pefkins loans, Federal Plus, Federal Pell Grant, FSEOG account, and State Grants up to the amount of the disbursement and any additional refunds due will be made to the student or sponsor. The student will be responsible for repayment of any overpayment of monies disbursed to him/her for non-tuition educational expenses. The University will also refund money forwarded to a third parties on the student’s behalf.

Financial Aid

SBU participates in federal financial aid programs, including federal grants, loans and work-study. Federal financial aid is available to students enrolled in the MSAOM.

Students who have been accepted at SBU may apply for federal financial aid. This requires filing a Free Application for Federal Student Aid (FAFSA). These forms can be obtained from the Financial Aid Office or on the internet at www.fafsa.ed.gov . Students must file a new FAFSA every year. Eligibility for financial aid is determined by using a federal formula outlined by the U.S. Department of Education .

Federal Pell Grant

    The Pell Grant is a federally funded program and does not have to be repaid. It is available to undergraduate students who demonstrate financial need.
Federal Supplemental Educational Opportunity Grant (FSEOG)
    FSEOG is a federally funded program and does not have to be repaid. It is available to undergraduate students with exceptional need
Federal Work-Study (FWS)
    Provides jobs for undergraduate and graduate students with financial need, allowing students to earn money to help pay for education expenses.
Federal Family Education Loan Programs (FFELP)

Federal Stafford Loans must be repaid with interest. Federal Stafford loans can be subsidized or unsubsidized:
  • Subsidized Stafford Loans
    are awarded based on demonstrated financial need. The federal government pays the interest while the student is in school and during grace period (six months after the students has completed the program or drops below half-time enrollment); as well as during the deferment period.

  • Unsubsidized Stafford Loans are for all eligible students regardless of financial need. The student is responsible for paying all the interest on the loan, but can allow it to accumulate while in school and during the grace and deferment periods.

How is financial aid determined?

Financial aid is based on demonstrated financial need. This is determined by taking the Cost of Attendance (COA) at SBU and subtracting the Expected Family Contribution (EFC). The EFC is generated by the information reported on the Free Application for Federal Student Aid (FAFSA) and is verified by a federal income tax return and/or agencies providing non-taxable income.

What are my responsibilities?

  • A new financial aid applicant must comply with all admissions requirements before receiving any financial aid funds
  • Students borrowing Stafford loans are required to complete a loan counsel ing session before loan funds are disbursed
  • Students who borrowed a Stafford loan and complete the program or cease to be enrolled at least half time must complete an exit counseling session


When do I get my financial aid money for living expenses (credit balance)?

Student financial aid at SBU is normally disbursed in three equal payments per academic year. Disbursements are typically made by the third week of each quarter after the add and drop period. Financial Aid is posted to your tuition account and you will be notified in writing as to the details of any disbursement made to your account.

If a disbursement creates a credit balance on your account, SBU will issue you a check within 14 days of the posting and will notify you in writing that your check is ready for immediate pick up from the Fiscal Office.

Who can apply for financial aid?

To be considered for financial aid, you must meet all of the following requirements:
  • Be a U.S. citizen or eligible non-citizen
  • Be registered with Selective Service (if required)
  • Have financial aid need, (not required for some loans)
  • Have a high school diploma or GED
  • Cannot be in default on any educational loan
  • Do not owe a refund on a federal grant
  • Making satisfactory academic progress (see catalog for details)

What circumstances can affect my aid eligibility?

The following is a list of circumstances that can have a serious effect on your aid eligibility:
  • You withdraw from all of your classes
  • You drop from full-time status (12 or more units)
  • You drop below half-time status (less than 8 units)
  • Failure to meet Satisfactory Academic Progress as stated in SBU catalog

Scholarship

Money received from scholarship sources does not have to be repaid. At SBU there are scholarships available for entering students and limited scholarship sources available to students who are matriculated. To be considered for available scholarships, complete scholarship request form (along with all supporting documentation) must be received in the fiscal officer by the appropriate deadline date.

President Scholarship Award

From time to time, the President awards scholarship in unspecified amounts to exceptional students whose performance in academics, involvement in student activities, and services to the University and the AOM profession exceed above and beyond the basic requirements. The President presents the scholarships to the students during the quarterly Student Council Orientation for new students.

Academic Excellence Scholarship

SBU awards $500.00 scholarship to one (1) student in each language program of each campus every quarter. A total of six (6) scholarships are awarded each academic quarter. The scholarships are awarded based on the following:
  1. Completed at least two (2) quarters of full-time study at the University
  2. Earned a cumulative quarter grade point average (CGPA) of 3.75 or higher.
  3. Involved in activities and/or services to fellow students, the University, and the AOM profession.
  4. Demonstrated a genuine need for financial assistance.
Prospective recipients are encouraged to submit an application to the appropriate Program Student Advisor by the finals week of the academic quarter. Scholarship Award Committee reviews and evaluates the applications. Appropriate Program Advisor will notify the student of the award by the first week of the following academic quarter. The Academic Dean presents the scholarships to students during the quarterly Student Council Orientation for new students. Qualified students may not receive more than three (3) scholarships during his/her tenure at the University

Clinic Excellence Scholarship Award

SBU awards $100.00 scholarship to three (3) interns in each campus every quarter. A total of six (6) scholarships are awarded each academic quarter. The scholarships are awarded based on the following:
  1. Completed at least the Observation Phase of the Clinic Internship as a full-time student at the University.
  2. Earned a cumulative quarter grade point average (CGPA) of 3.75 or higher.
  3. Recommended by the Clinic Supervisors.
  4. Dressed professionally and appropriately at all times.
  5. Complied with Clinic Rules & Regulations, including prerequisites, CNT, HIPAA, & OSHA.
  6. Recruited patients for the SBU Clinics.
  7. Involved and collaborated in activities and/or services to fellow interns, the University, and the AOM profession.
  8. Demonstrated a genuine need for financial assistance.

Prospective recipients are encouraged to submit an application to the Director of Clinics or the Associate Clinic Director by the finals week of the academic quarter. The Director of Clinics or the Associate Clinic Director will notify the intern by the first week of the following academic quarter. The Director of Clinics or the Associate Clinic Director presents the scholarships to interns during the quarterly Student Council Orientation for new students. Qualified interns may not receive more than two (2) scholarships during his/her tenure at the University.

ALumni Association Scholarship Award

From time to time, SBU alumni may donate scholarship funds for students in a particular language program. The Scholarship Award Committee reviews the criteria for awarding the scholarship. The President presents the scholarships to students in the specified language program during the quarterly Student Council Orientation for new students.

Special Scholarship Award

From time to time, SBU may receive funds from anonymous donors to assist particular students financially. The Scholarship Award Committee reviews the criteria for awarding the scholarship, if the recipient is not designated by the donor. The President presents the scholarships to the designated students in the specified language program during the quarterly Student Council Orientation for new students.

Student Council Scholarship Award

From time to time, Student Councils may receive funds from anonymous donors to assist particular students financially. The Student Council, together with the Scholarship Award Committee, will designate the recipient for the awards. The Student Council President presents the scholarships to the designated students during the quarterly Student Council Orientation for new students.

Student Responsibilities

  1. When students register for classes at SBU, they incur charges on their account. Students are responsible for payment of all charges on their account by the due date, even if another party is paying the account.

  2. Students experiencing financial problems in the payment of any tuition and fees are responsible for contacting the Fiscal Office to make satisfactory arrangements.

  3. Students are responsible for keeping SBU informed of their current address and should submit address changes to the Registrar's Office.

  4. Students are responsible for formally withdrawing from classes they wish to drop. Students who fail to formally drop classes during the add and drop period are responsible for the tuition charges. (See refer to Add and Drop Policy.)

  5. Any assessment or judgment against a student for damage to SBU property, whether arising from a Student Conduct Code proceeding or a court action, shall be considered money due SBU as if it were tuition. No transcripts or diplomas will be released to the student until the amount due the University has been paid.
